1. Introductory provisions

This Privacy Policy (hereinafter the “Policy”) sets out the rules for the processing and protection of personal data collected and processed through the website sut.stefaniktrail.sk, which serves for the presentation, promotion and organisation of the Štefánik Trail sporting event and also contains an e-shop for the sale of related products.

The controllers and organisers of the event are:

  • URBAN SERVICES, s.r.o., registered office Adámiho 20, 841 05 Bratislava, Company ID: 46808175, Tax ID: 2023599743 (hereinafter the “Company”),
  • O.Z. VESTIGIUM, registered office Adámiho 20, 841 05 Bratislava, Company ID: 42270022 (hereinafter the “Association”).

These entities act jointly as controllers of personal data within the meaning of Regulation (EU) 2016/679 of the European Parliament and of the Council on the protection of natural persons with regard to the processing of personal data and on the free movement of such data (hereinafter “GDPR”), as well as Act No. 18/2018 Coll. on the protection of personal data (hereinafter the “Act”).

The aim of this Policy is to explain transparently, in detail and exhaustively what data we collect, how we process it, for what purposes, how long we retain it and what rights you have as data subjects.

2. Categories of personal data processed

On the website and in connection with the event we collect and process a wide range of data, which may include, but is not limited to:

  • Participant identification data: first name, surname, date of birth, sex, nationality, citizenship.
  • Contact data: home address, email address, phone number.
  • Event-related data: chosen discipline, club affiliation, T-shirt size, start time, race bib number.
  • Health-related data (if provided voluntarily by the participant): allergies, chronic illnesses, emergency contact person.
  • E-shop related data: billing details, delivery address, order information, payment data (to the extent necessary to process the transaction; payment data is processed by a contractual partner – the payment gateway provider).
  • Marketing data: email address upon subscribing to the newsletter, preferences regarding the sending of information.
  • Technical data: IP address, device type, browser type, cookies, website access logs.
  • Multimedia data: photographs and video recordings taken during the event in which you may appear as a participant or visitor.

3. Purposes of personal data processing

Personal data is processed for the following purposes:

  • Organisation of the sporting event – participant records, registration management, issuing race bibs, keeping results lists, providing medical and security services.
  • Sales through the e-shop – processing orders, issuing invoices, delivering purchased goods and communicating with customers.
  • Marketing and promotion – sending newsletters, information about other events or accompanying activities, publishing photos and videos on the website, in printed materials and on social media.
  • Compliance with legal obligations – bookkeeping, processing tax documents, providing data to public authorities to the extent required by law.
  • Improving the functioning of the website – through analytical tools and cookies we monitor traffic and user behaviour in order to improve content and user experience.
  • Security purposes – protection against misuse, securing the web environment and preventing cyberattacks.

Personal data is processed on the following legal bases:

  • Performance of a contract (Art. 6(1)(b) GDPR) – registration of participants for the event, purchase of goods in the e-shop.
  • Compliance with a legal obligation (Art. 6(1)(c) GDPR) – retention of accounting documents, provision of data to public authorities.
  • Legitimate interest of the controller (Art. 6(1)(f) GDPR) – promotion of the event through photographs, securing the website, communication with participants.
  • Consent of the data subject (Art. 6(1)(a) GDPR) – newsletter subscription, marketing cookies, publication of certain multimedia materials.

5. Data retention period

  • Event participant data is retained for 5 years from the end of the relevant edition.
  • Accounting documents are retained for 10 years in accordance with the Accounting Act.
  • Data provided for marketing purposes is retained until consent is withdrawn.
  • Cookies and technical data are generally retained for 13–24 months depending on browser settings.

6. Disclosure of personal data to third parties

Personal data may be disclosed or made accessible only to the necessary extent to the following categories of recipients:

  • payment service providers and banks,
